Posting an On-Campus Job

  1. All on-campus student employment positions must be posted through PatriotJobs, the Career Services job board for a minimum of 5 working days.
  2. To post jobs, complete the job posting form. Email the completed form to careersvc@uttyler.edu.
  3. Once the job is posted in PatriotJobs, you will receive a confirmation email that contains your PatriotJobs log in information so that you can review applicant resumes. 
  4. Students will apply through PatriotJobs by submitting their resumes.  

Selection and Hiring

  1. Departments can review applicants' resumes by logging into PatriotJobs using the information in the confirmation email.
  2. Departments must screen applicants and select the students to interview and hire.
    • We recommend that selection and hiring should not be based solely on whether the student is eligible for work study funds.
  3. Please notify the Office of Career Services of your hiring decision and document your hiring selection by completing the EEO Compliance Record.
  4. Departments must notify students of selection and hiring decisions. You may use the "Recruiting Related Forms" found on the HR website

If this position will be 100% funded from the departmental budget, go to the HRMS Appointment instructions.

Work Study Award Verification

  1. The department must request proof of a work study award from the student.
    • Students must provide proof of their financial aid award from myUTTyler by following these instructions: myUTTyler > Student Center > View Financial Aid link > Select current aid year > Print Summary with aid year and term award information.
  2. If the student has not been awarded work study funds, the student can be placed on the wait list to be awarded.
    • To be placed on the wait list, the student must email careersvc@uttyler.eduin Career Services with the following information:
      • Student’s full name
      • Student ID # (5000__________)
    • The wait list will be reviewed by the Office of Financial Aid after the 1st week of class for each semester.
    • Awards will be made based on financial need (from FAFSA results) AND the availability of funds.
    • Students who are eligible to be awarded work study funds will receive a revised award notice via their Patriots email account.
    • Once awarded, departments must obtain proof of the student's work study award, and then go to Step 3. 
  3. If the student has been awarded work study funds, go to Financial Aid Work Study Programs.
    • Review the Work Study Procedures
    • Sign the Work Study Agreement (Both the student and supervisor must sign the agreement.)
    • Fax the completed Work Study Agreement to the designated work-study coordinator in the Financial Aid Office (903.566.7052).  
    • The Financial Aid Office must receive the completed and signed Work Study Agreement before approving the appointment in HRMS (preferably before the end of the student’s first payroll period).   

HRMS Appointment

New Student Employee Orientation

New Student Employee Orientation reviews the student rights and responsibilities as an employee of The University of Texas at Tyler and the State of Texas. HR documents will be completed and high assurance IDs will be issued at this time. 

  1. New student employees must attend a New Student Employee Orientation within the first 30 days of employment.
    • For the Fall 2011 semester- All student employees must attend, including students who have previously worked on campus.
    • Departments should verify that their student employees have attended.
  2. Students must register to attend through PatriotJobs.
    1. Dates and times.
  3. Students are required to bring the following items to New Student Employee Orientation.
    • A copy of their budget authority approved HRMS appointment. The department can print this out for the student.
    • One of the following choices
      • Their passport
      • Their state issued ID or Driver’s License AND Social Security Card (Readable copies will be accepted.)
      • Their state issued ID or Driver’s License AND Birth Certificate (Readable copies will be accepted.)
      • International students must bring their visa.
    • Direct Deposit
      • If the student would like to have their paycheck direct deposited, then the student must bring:
        • a deposit slip and voided check, OR
        • an official letter from their bank on the bank's letterhead with the routing number and bank account.
